Behind the scenes with a wedding planner

Behind the scenes with a wedding planner

In the photos, everything looks simple: radiant newlyweds, perfect decor, a magical atmosphere.
But behind this apparent ease lie months of preparation, dozens of suppliers to coordinate, and a wedding planner working behind the scenes to make sure every detail is exactly where it should be.

I am a wedding planner and designer in Nouvelle-Aquitaine, and today I want to take you backstage in my profession. Because while weddings are made of sparkle and love, they are also made of logistics, emotion and passion. Here is what you don't always see…

Before the big day: meticulous preparation

First meetings with the couple

It always starts with a meeting. A precious moment, often full of emotion, when two people entrust me with one of the most important days of their lives. This first conversation is much more than a simple appointment: it is the beginning of a human adventure, a timeless interlude in which we get to know each other.

Over a coffee, a phone call or a video call, the conversation flows naturally. We talk about their story, how they met, what brings them together. We laugh, sometimes we are moved, and very quickly we start dreaming together. These exchanges are essential: they help me understand who they are, what they love and, above all, what they want to feel on the big day.

This is often when the first ideas are born. A bohemian, authentic wedding in the heart of the Bordeaux vineyards, an intimate symbolic ceremony under the pines of the Arcachon Bay, or an elegant, refined reception in a château in the Périgord. Every detail begins to take shape, guided by their wishes, their personality and their vision of the wedding.

Every couple has their own world, their own codes, their own emotions. My role is to listen, to feel and to translate this uniqueness into a celebration that deeply resembles them. Turning their dreams, emotions and story into a unique and unforgettable experience: that is the heart of my work as a wedding planner.

Finding suppliers and the logistical puzzle

Once the wedding concept is approved, a key stage of the planning begins: finding and selecting the suppliers. Caterer, photographer, florist, DJ, decorator, officiant, stationery, accommodation… each professional plays an essential role in the success of the big day.

Behind this selection lie many hours of research, comparisons, meetings and conversations. But beyond technical skills, I pay particular attention to people. Because a successful wedding relies above all on a close-knit, caring team aligned around one shared vision: the couple's.

My role is to create real connections between the suppliers and the couple, so that everyone understands the world of the wedding and commits to it fully. This synergy ensures smooth organisation, effective communication and a calm atmosphere throughout the preparations.

Every element is planned down to the last detail: set-up times, deliveries, coordination on the day, and of course a plan B in case of bad weather. And respecting the budget remains at the heart of every decision, so I can offer the right solutions without ever compromising on quality or emotion.

It is this rigour, combined with a human approach, that turns a project into a harmonious, well-managed and unforgettable wedding.

The moodboard: the birth of the concept

Before the first bouquets are delivered or the decor comes to life, everything starts with the moodboard. It is a deeply creative stage, a key moment when the wedding concept takes visual shape. I gather inspiration, colour palettes, textures, materials, plays of light and atmospheres to give the project a clear direction.

The moodboard is a true common thread. It helps the couple picture themselves there, feel the atmosphere of their day and imagine the world that will surround them. You could compare it to the trailer of the wedding to come: the soul of the project takes shape, emotions become images, and every detail gradually finds its place.

In Nouvelle-Aquitaine, the possibilities are endless and the styles extremely varied. A boho-chic wedding inspired by the Landes, an elegant, refined celebration in the heart of the Médoc vineyards, or a natural, pared-back wedding facing the ocean, lulled by the sound of the waves. Every territory and every landscape becomes a unique source of inspiration.

The moodboard then serves as the working basis for all the suppliers. It guarantees visual and emotional harmony and ensures that every element, from the flowers to the stationery, the furniture and the outfits, tells the same story: the couple's.

The days before: between excitement and precision

The final adjustments

Three days before, everything speeds up. The excitement builds and every detail becomes crucial. Suppliers confirm their arrival and set-up times, the last payments are made, and I go over the timeline again and again to make sure everything is perfectly orchestrated. It is a real race against the clock, where every minute counts.

The days get longer, and so do the evenings. I make late-night calls to adjust a timing, confirm a delivery or anticipate a problem. I check the stock of candles, decor items and floral arrangements. I prepare the emergency kits, the ones you hope never to use but that save the day when a detail slips out of control.

Room layouts, seating plans, ceremony running order, final checklists… everything is scrutinised. I linger over the small details nobody really notices but that make all the difference on the big day: the ones that ensure the smooth flow, comfort and peace of mind of the couple and their guests.

My goal at this stage is clear: for the couple to be able to let go with complete confidence. Because when everything has been anticipated, checked and secured, they can enjoy every moment with a light heart while I make sure, behind the scenes, that their day runs smoothly.

Set-up: the art of orchestrating everything

The day before the wedding is often one of the most intense and moving moments of the whole adventure. This is when months of preparation finally come to life. With my team, we arrive at the venue, often first thing in the morning, laden with boxes, flowers, fabrics… and carefully imagined dreams.

Little by little, an empty space turns into a place full of emotion. Every element finds its place: a delicately tied ribbon, a precisely positioned candle, a carefully laid plate. Nothing is left to chance. Every detail helps tell a story and create a unique atmosphere.

This is when my role as a wedding designer comes fully into play. I play with volumes, natural or soft light, materials and textures to give depth to the whole. I adjust, move and refine until the harmony is perfect and true to the concept imagined with the couple.

Meanwhile, the couple can relax and savour the excitement of the hours to come. They know everything is in good hands. That is precisely why they chose me: to fully live these precious moments, without stress or pressure, while I handle every detail behind the scenes.

The big day: in the shadow of the spotlight

Emotion at the heart of the job

On the wedding day, I am everywhere… and nowhere at once. Present without being seen, attentive to every detail and every look. I anticipate, adjust, reassure, smile, fix things when needed and applaud in silence. My role is to make sure everything flows smoothly, without ever disturbing the magic of the moment.

In my bag there are always the essentials: pins, tape, tissues, a needle and thread, a backup plan and, above all, a lot of love. Because beyond the organisation and logistics, this job is lived with the heart.

The most powerful moments are often the simplest:

  • When the bride puts on her dress and is overwhelmed with emotion.
  • When the guests see the decor for the first time, eyes shining.
  • When the music starts, silence falls, and everything suddenly becomes real.

It is these suspended moments, full of emotion, that give my job its meaning. And at every wedding, I think the same thing, my heart full of gratitude:
“Yes, it was all worth it.”

The unexpected: my daily tightrope walk

There is no such thing as a wedding without surprises. And that is probably what makes every event unique. Despite months of meticulous preparation, there is always that little grain of sand ready to upset the plan: a sudden shower that forces a rethink of the ceremony, a delayed supplier, a suit button that comes off at the last minute.

My job is then to walk a tightrope, in constant balance. Anticipate, react, decide quickly and well. Find an effective solution while keeping a smile, reassure the couple, and preserve the atmosphere and the emotion. These adjustments often happen behind the scenes, with the utmost discretion.

That is the beauty, and the challenge, of being a wedding planner: knowing how to turn the unexpected into an opportunity. A relocated ceremony becomes more intimate, a delay becomes a moment of sharing, a hastily fixed detail leaves nothing behind but a perfect memory.

And when nobody notices what almost went wrong, I know my mission is accomplished.

Why I love showing what goes on behind the scenes

Many people imagine that being a wedding planner is just about choosing flowers, coordinating a few suppliers or throwing parties. But it is much more than that: it is about accompanying love stories, understanding emotions and turning dreams into reality.

Showing what goes on behind the scenes means shining a light on all the invisible work that makes each wedding unique. It means sharing the reality of the job: the meticulous preparation, the creativity, the sleepless nights, the problems solved out of sight and, above all, all the emotions that run through this adventure.

It is also a way to reassure couples, to tell them, through these images and stories:
“Yes, your wedding will be perfect. Because behind it, a whole team is making sure the magic happens.”

Sharing the backstage of a wedding reveals the rigour, passion and commitment needed for everything to go without a hitch. It is an authentic account of the wedding planner's job, going far beyond the festive surface to celebrate the heart of our work: emotion, preparation and attention to every detail.

Nouvelle-Aquitaine, a magical playground

Being a wedding planner in Nouvelle-Aquitaine is a real privilege. The region offers a range of breathtaking natural settings: the Bordeaux vineyards, the wild beaches of the Arcachon Bay, the peaceful forests of the Landes and the magnificent châteaux of the Lot-et-Garonne. Each place has its own unique charm and becomes a source of inspiration for creating memorable weddings.

Here, every couple can find the perfect setting for their story:

  • A country wedding in a renovated barn, with wild flowers and rustic touches.
  • An elegant wedding in a château surrounded by vines, where history and refinement meet.
  • A bohemian wedding with your feet in the sand, lulled by the waves and the golden light of sunset.

This geographical and stylistic diversity fuels my creativity every day and pushes me to imagine ever-different worlds, tailored to each couple. Nouvelle-Aquitaine is not just a wedding venue: it is a true playground for designing unique, authentic and deeply memorable weddings.
